Privacy Policy

1. Who we are

Figital Labs LLP (“we”, “our”, “us”) builds and operates Hospital OS, AI Guru, Noted AI and Ambient Scribe (together, the “Products”), and this website. This policy explains how we collect, use, store and protect information when you use them.

Our hospital and business customers decide who uses the Products and what is recorded. Where a customer is responsible for the people it records, it is responsible for giving them notice and getting any consent the law requires.

2. Information we collect

• Account information: name and email address. Accounts are created and managed by Figital Labs or your organisation, and credentials are provided to authorised staff when they are onboarded.
• Recordings and transcripts: audio of conversations that staff record in Noted AI, that the Ambient Scribe recorder captures at a counter or front desk, that doctors and counsellors record in Hospital OS, and that staff speak during an AI Guru assessment. AI Guru also uses camera images where its integrity checks need them.
• Content we derive: transcripts, summaries, tickets, scores, notes, estimates and reports generated from those recordings, and documents your staff upload.
• Enquiries: the name, work email, organisation, phone number and message you send through our contact and demo forms.

3. How we use it

We use the information to transcribe and analyse conversations, raise and route tickets, score assessments, produce notes, estimates, audits and reports, show dashboards to authorised managers, keep the Products secure, and reply to enquiries.

We do not sell personal data, and we do not use collected data to train AI models.

4. AI processing

Transcription and AI analysis are performed with Google’s Gemini models on Google Cloud, operated by Google LLC as our data processor. We send the audio, and the context needed to analyse it (for example the table, location or scenario), to Google Cloud for processing.

Google processes this data only to return the transcript and analysis to us, under the Google Cloud Terms of Service and Cloud Data Processing Addendum. Google does not use it to train or improve its models, and does not keep the audio or transcript after the request is processed.

5. Storage and retention

Data is stored on Amazon Web Services infrastructure in the Mumbai (ap-south-1) region, operated by Figital Labs. All data is encrypted in transit and at rest.

Original audio recordings are deleted as soon as transcription is complete. Transcripts and the data derived from them are kept for six months from collection, and then permanently deleted. You can ask us to delete your data sooner by writing to contact@figitallabs.com.

6. Who we share it with

We do not share personal data with third parties for their own purposes. We use two service providers, each acting on our instructions as a data processor:

• Amazon Web Services, which provides the servers and storage the Products run on.
• Google LLC, through Google Cloud, which transcribes and analyses recordings as described above.

We may also disclose information where the law requires it.

7. Security

We use encryption at rest and in transit, role-based access controls (permissions are set by your organisation’s management), and audit logs of system activity.

We have not yet had a third-party security audit, though we follow industry-standard practices. Our services are currently available only in India, and are not GDPR or HIPAA certified.

8. Recording and consent

Before the first recording on a device, the Noted AI app shows a consent screen explaining what is recorded and what happens to it, and recording cannot start until the staff member agrees. Organisations that use Ambient Scribe or any other recording feature must give staff, patients and customers the notice, and obtain the consent, that applicable law requires.

9. Cookies

This website and the Products do not use cookies or tracking technologies for analytics, personalisation or advertising.

10. Your choices

Authorised users see their organisation’s dashboards with the credentials we provide. Users cannot edit dashboard data directly. To ask for access, correction or deletion of your data, write to contact@figitallabs.com.

11. Changes

We may update this policy from time to time. We will post the new version on this page with a new date.
